Velocity X Trucking ("Velocity X," "we," "us," or "our") is a truck dispatching service based in Casper, Wyoming, USA, providing dispatch services to carriers and owner-operators across all 48 contiguous United States.
This Privacy Policy explains what personal information we collect through velocityxtrucking.com and through our dispatch operations, how we use and share it, how we protect it, and what rights and choices you have. It applies to carriers, owner-operators, drivers, brokers, shippers, and website visitors.

2. Information We Collect
Depending on how you interact with us, we may collect:
- Contact and identity information: name, phone number, email address, mailing address.
- Business and carrier information: company name, MC/DOT number, equipment type, W-9, certificate of insurance, and — where applicable to a driver we dispatch — CDL and license details.
- Operational information: load details, pickup and delivery locations, and vehicle location or GPS information you or your ELD/tracking provider share with us for the purpose of dispatching and load tracking.
- Payment and billing information: billing details, invoices, payment records, and factoring information. Card and bank details are handled by our payment or factoring providers; we do not store full card numbers on our systems.
- Communications: the content of messages, emails, and text messages you send us; call logs; and recordings of calls or video meetings (see Section 7).
- Website usage information: basic technical data such as browser type, device type, and pages visited, used to keep the site working properly.
3. How We Collect Information
- Website forms (contact form and call-back request form).
- Carrier setup and onboarding paperwork.
- Phone calls, text messages (SMS), email, and messaging apps.
- Video meetings (for example, Zoom) and any recordings of them.
- Our dispatch and booking systems, load boards, and broker portals used on your behalf.
- Basic website analytics and server logs.
4. How We Use Your Information
- To source, negotiate, and book loads on your behalf.
- To set you up as a carrier and complete related documentation.
- To communicate with you about loads, schedules, paperwork, and account matters.
- To communicate with brokers, shippers, and factoring companies on your behalf.
- To invoice, bill, and keep accounting records.
- To meet legal, regulatory, DOT, and record-keeping obligations.
- To provide customer support and resolve disputes.
- To send marketing or promotional messages, only where you have opted in (see Section 5).
- To operate, secure, and improve our website and services.
5. Consent and Legal Basis
We process your information on these bases:
- Performance of our service: to dispatch your truck, we need your contact, carrier, equipment, and load information.
- Legitimate business interests: operational calls, emails, and text messages about your loads and account; securing our systems; keeping business records.
- Consent: promotional or marketing messages, including promotional SMS, are sent only if you have opted in.
- Legal obligation: records we are required to keep or disclose under applicable law.
You may withdraw consent for marketing communications at any time — reply STOP to a text message, use the unsubscribe link in an email, or contact us directly. Withdrawing marketing consent does not stop operational messages required to dispatch your loads, and it does not affect processing carried out before the withdrawal.
6. SMS / Text Messaging
By providing your phone number through our website forms, during carrier setup, or in the course of doing business with us, you agree that Velocity X Trucking may contact you by call and by text message (SMS) regarding dispatch services, load offers, operational updates, and account matters. Promotional and marketing texts are sent only to those who have opted in.
- Message frequency varies based on your load volume and activity.
- Message and data rates may apply. Standard carrier charges are your responsibility.
- Reply STOP at any time to opt out of text messages. Reply HELP for assistance.
- You may also opt out by calling 972-331-9498 or emailing info@velocityxtrucking.com.
- SMS is not a secure channel. Please do not send sensitive personal or financial details by text message.
- We keep a record of your consent (including the date, time, and how it was given) so we can demonstrate it if required.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
7. Call and Meeting Recording
Calls and video meetings (for example, Zoom) with Velocity X Trucking may be recorded or monitored for quality assurance, training, dispute resolution, and record-keeping purposes.
- Where required by law, you will be notified at the start of the call or meeting. Continuing after that notice indicates your consent to the recording.
- If you do not consent to being recorded, tell us before the call or meeting begins, or join by audio only where that option is available, and we will accommodate you where reasonably possible.
- Recordings are stored securely, access is limited to staff who need them, and they are retained as described in Section 11.
8. How We Share Information
We do not sell your personal information. We share it only with the following categories of recipients, and only as needed:
- Brokers, shippers, and load boards — to quote, book, and complete loads on your behalf.
- Factoring companies and payment providers — where you use factoring or where payment must be processed.
- Technology and service providers that help us run the business, including our website hosting and database provider (Google Firebase), our website form delivery provider (Web3Forms), our email provider, our video meeting provider (Zoom), and our SMS/messaging provider zoom workplace.
- Professional advisors such as accountants and insurers, where necessary.
- Authorities — when required by law, regulation, subpoena, or to establish or defend legal claims.
We require our service providers to protect your information, to use it only for the purposes we specify, and not to use it for their own marketing.
9. Cookies and Analytics
Our website uses only what is necessary to function and to understand basic traffic patterns. We do not use advertising or cross-site tracking cookies. Our pages load fonts hosted by Google Fonts, which means Google may receive your IP address as part of serving those files. If we add analytics tools in future, we will update this policy.
You can block or delete cookies through your browser settings; the site will continue to work.
10. Data Security
We take reasonable measures to protect your information, including:
- Encryption of data in transit (HTTPS/TLS across the website).
- Access controls, so staff can access only what their role requires.
- Password-protected accounts and administrative systems.
- Reputable, security-reviewed service providers for hosting and data storage.
- Staff guidance on handling carrier and driver information.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please avoid sending sensitive documents over unsecured channels such as SMS.
11. Data Retention
We keep information only as long as we need it:
- Carrier and driver records: for the length of our working relationship and afterwards for the periods required by DOT/FMCSA and other applicable regulations.
- Load, invoicing, and accounting records: for the period required by tax and accounting rules.
- Call and meeting recordings: retained for 12 months unless needed longer for a dispute or legal requirement, then deleted.
- SMS, email, and messaging logs: retained for 24 months, along with records of consent.
- Website form submissions: retained while the inquiry is active and for a reasonable period afterwards.
When information is no longer needed, we delete it or render it unidentifiable.
12. Your Rights and Choices
Subject to applicable law, you may:
- Access the personal information we hold about you.
- Correct information that is inaccurate or out of date.
- Request deletion of your information.
- Request a copy of information you gave us, in a portable format.
- Opt out of marketing calls, emails, and text messages at any time.
- Object to or restrict certain processing.

Please note we may be unable to delete information we are legally required to retain (for example, DOT-mandated records, tax records, or information needed for an open dispute). 13. Children's Privacy
Our services are intended for business use by adults. We do not knowingly collect personal information from children under 13, and our website is not directed at them. If you believe a child has provided us with personal information, contact us and we will delete it.
14. Changes to This Policy
We may update this Privacy Policy from time to time. The current version, with its effective date, will always be posted on this page. Material changes will be communicated where required by law. Continued use of our website or services after an update indicates acceptance of the revised policy.
